Job Title: Receptionist / Office Coordinator

About the Role
We are seeking a professional and organized Receptionist / Office Coordinator to support the daily operations of a busy back office at a Manufacturing facility in Beacon Falls, CT. This role serves as the first point of contact for visitors and incoming calls, helping create a welcoming and professional environment while ensuring smooth daily office operations.
The position also supports office operations by managing supplies, coordinating purchasing activities, and maintaining organized documentation systems. The role works directly with leadership to ensure the office team has the resources needed to operate efficiently.
Responsibilities
Front Desk & Communication
Manage the office phone system and route incoming calls appropriately
Greet visitors and create a welcoming and professional environment
Act as the first point of contact for guests, vendors, and incoming inquiries
Office Administration
Maintain and distribute company literature and office materials
Support office staff with general administrative and clerical tasks
Ensure the office environment remains organized and running smoothly
Office Purchasing & Supply Management
Manage office supply inventory and ordering
Work directly with the CFO to ensure the office team has the supplies needed to operate
Negotiate pricing with vendors to ensure the best value for the company
Track orders and deliveries to ensure quality and accuracy
Records & Document Management
Maintain daily filing systems and ensure documents are organized and accessible
Coordinate annual document preparation and scanning projects
Ensure records are properly maintained and archived
Requirements
Previous experience in reception, office administration, or office coordination.
Prior experience in Manufacturing a plus.
Strong communication and customer service skills
Excellent organizational and multitasking abilities
Experience managing office supplies or vendor coordination is a plus
Proficiency with Microsoft Office (Word, Excel, Outlook)
Professional demeanor and ability to interact with visitors and staff
